Events Coordinator (Speaker and Abstract Coordination)

  • This position is the perfect entry into the non-profit and global meeting planning world, with a focus on program, abstract, and speaker management for internationally renowned scientific conferences.

    The International Society for Stem Cell Research (ISSCR) seeks a driven, highly organized team member with exceptional people skills to support the society's portfolio of meetings..

    The Abstract and Speaker Coordinator will be responsible for the abstract submission process and be a liaison with leading scientists presenting in ISSCR programs.

    The International Society for Stem Cell Research (ISSCR) is the largest society in the world dedicated to the advancement of responsible stem cell research and therapy - a field that strives to advance scientific understanding, treatments, and cures that better human health.

    The Team
    This position reports directly to the Director of Global Events and is part of the meetings team. The position will also work closely with the scientific, technology, and marketing teams.

    Responsibilities

    Abstracts

    • Configure, implement, test and review the abstract submission process.Maintain and update websites with abstract information.

    • Manage data and reporting through the abstract management system.

    • Participate in meeting organizing committee calls.

    • Organize and execute poster sessions for ISSCR Annual Meeting and regional events.

    • Provide live day poster support at ISSCR Annual Meeting and if needed, International Symposia


    Speaker and Presenter Support

    • Provide support for speakers and poster presenters by email.

    • Work with the Events Coordinator in maintaining the customer service standard operating procedures (SOPs).

    • Create and maintain speaker registry for ISSCR meetings/events.


    Other Responsibilities

    The ISSCR relies on teamwork to be effective. Other duties and responsibilities may be assigned.

    Desired Skills and Qualifications

    • Minimum 1-3 years’ experience.

    • Experience with a medical/scientific society, or in events organization and/or customer service role.

    • Proficiency in software platforms and databases including data entry and reporting functions; Experience with iMIS, CadmiumCD, Open Water, or other event management software platform products a plus

    • Ability to manage and interchange to multiple tasks

    • Detail-oriented and ability to plan ahead and meet project timelines/deadlines

    • Ability to work effectively in team scenarios

    • Strong organizational skills

    • Excellent communication skills

    • Availability for limited annual domestic/international travel
